SCUP Privacy Notice

The Society for College and University Planning (SCUP) is committed to being a responsible steward of your personal information and complying with all applicable laws and regulations covering data protection. We secure your personal information with appropriate administrative, technical, and physical safeguards.

Information Collected

  • Account and Membership Information: When you become a member and create your SCUP account, you will be asked for first name, last name, email address, and professional data (e.g. educational institution, planning goals, etc.);
  • Demographic Information: Members of the SCUP community have the option to provide demographic information, such as gender and age;
  • Information Submitted to Our Website: Any information or communications we have about orders, purchases, or surveys through our website and any comments or queries submitted via our website. We do not directly collect or store credit card information;
  • Marketing Information: We may collect information for marketing purposes, such as information from publicly available sources or third parties; and
  • Usage and Device Information: We automatically collect certain information when you use our website, such as a device identifier, browser/operating system, referring URL or advertisement, and other information when navigating our website.

When you place an order or make a purchase through our website, for items such as publications and event registrations, SCUP uses a PCI DSS compliant third party to process, store, and transmit any credit or debit card data in compliance with PCI standards. Under no circumstances will we directly collect or hold your credit card information.

Information Use

SCUP uses your personal information to:

  • respond to inquiries and requests, and to welcome new members;
  • communicate transactional information, such as receipts for products and services or event registration information;
  • process and relay information about memberships, events, and services;
  • provide members’ access to member-only content and website features;
  • provide marketing and advertising about products, events, and services;
  • use for internal business purposes, such as recordkeeping and compliance;
  • analyze composition of the SCUP market to help in creating learning content and engagement opportunities;
  • assess job applicants, including using third parties to conduct screening checks; and
  • to comply with regulatory and legal obligations.

SCUP tracks anonymous, aggregated information about opening and click-through responses to bulk email messages to help us better tailor communications to the needs and interests of the individuals in the SCUP community.

Optional demographic information collected, such as planning type and birth year, are used in aggregate to analyze composition of the SCUP community.

We will retain your personal information so long as we have an ongoing business or legal need to do so. When we no longer have a legitimate business or legal need to retain your personal information we will delete or anonymize your personal information in accordance with our standard retention practices.

How Information is Collected

We collect personal information when you:

  • Complete a web form inquiry or otherwise interact with our website;
  • Contact us (or our third party call center) via telephone or email;
  • Interact with us via third-party social networking sites;
  • Purchase from, or become a registered member or our organization;
  • Attend an event we run;
  • Consent to receive further marketing communications; and
  • Member forums, surveys, conferences, and other programs.

We may obtain personal information about you from other sources such as social media platforms, third party data aggregators, or from third parties with whom we may occasionally partner with to run promotions or similar activities.

SCUP does not sell or rent lists of our members or nonmember customers. 

Your Choice and Accessing or Changing your Information

You can access and update or correct your personal contact information by visiting your 
My Account
page on our website (log-in required). In your account, you can also choose with whom you allow your information to be shared and which SCUP email communications you wish to receive. Options include events, corporate visibility, updates from your region, publications, and SCUP weekly emails. You can always opt-out from receiving marketing communications by following the unsubscribe instructions provided in each communication. Member and nonmember customers who opt out of receiving any or all SCUP email communications will still receive emails required to process a registration, purchase, or other business transactions. You may also continue to receive emails about SCUP elections, membership renewals, and other information necessary for business purposes.

If you are unable to update and correct your personal information as outlined above, please contact info@scup.org.

As outlined in the SCUP Culture Statement, unsolicited commercial emails have proven to be unpopular among members. If you receive an email that you feel is inappropriate, please forward a copy to membership@scup.org.

Information Sharing and Additional Choices

Below is a list of third parties with whom we may share some of your personal information. You may change some of these choices at any time, as indicated below:

Member Directory

  • SCUP’s searchable online member directory is provided to help members connect with colleagues in the SCUP member community.
  • The directory is visible only to SCUP members (log-in required).
  • You can choose whether or not to be included in the directory.

Online Registration Lists

  • A digital list of registered attendees for each SCUP event is generated to help attendees connect with each other before, during, and after the event.
  • The list is visible only to registered attendees of the same event (log-in required).
  • You can choose whether or not to be included in the online registration list on the registration form. You have the option to change this choice each time you register for an event.

Partners, Affiliates, and Service Providers

  • You can choose whether SCUP shares your name with certain Partners and Affiliates. Examples might include another higher ed association with whom SCUP has a partnership agreement, or a magazine featuring SCUP content that would like to supply members with a complimentary copy.
  • We may also share your information with service providers that assist us with services necessary to maintaining our corporation, such as accounting, legal, business consulting, invoicing and payment, third party data hosting and processing, marketing, insurance, or other technology services.
  • We may also exchange your information with social networking sites that enable you to “like” or “share” content.

Security

SCUP takes administrative, technical, and physical measures designed to protect your personal information from unauthorized access or disclosure.

  • We store your personal information in electronic form, and we protect your personal information through physical security (including locks and security systems at our office premises) and computer and network security (including use of firewalls, anti-virus, access controls and passwords).
  • SCUP may share information with trusted service providers authorized to carry out work on our behalf, such as providing website or database support.
  • SCUP does not store credit card information. Credit card transactions are handled through secure, PCI compliant, processors. SCUP has no visibility of credit card information for online purchases. Credit card information provided to SCUP via email, phone, or postal mail is promptly destroyed after transaction entry.
  • Committee member sign confidentiality agreements as a condition of serving on the membership committee.

Please note, however, no method of transmission over the internet, and no means of electronic or physical storage, is absolutely secure. As such, we cannot guarantee the security of information transmitted to, through, or on our website or via the internet.

SCUP’s website may contain links to other websites. SCUP is not responsible for content or privacy practices of these other sites. We encourage you to review the relevant policies and procedures of any linked websites you may visit.

Cookie Policy

When you view and/or interact with our website we may store certain information on your computer. This information may be in the form of a small text file called a “cookie” and can help us improve your experience with the sites. Cookies will be used to help us understand which parts of the website is most popular, where our visitors are going and how much time they spend there.   • Strictly Necessary Cookies: These are cookies that are required for the operation of our site. They include, but are not limited to, cookies that enable you to log into secure areas of our site, use a shopping cart, or make use of e-billing services. They also remember your login details and password, so you don’t have to type them in every time you visit the site.
  • Performance Cookies: These are cookies that allow us to recognize and count the number of visitors and to see how visitors move around our site when they are using them. These cookies help us to improve the way our site works. For example, by ensuring that users are readily able to find what they are looking for.
  • Functionality Cookies: These are cookies that are used to recognize you when you return to our Sites. These cookies enable us to personalize our content for you, greet you by name, and remember your preferences (for example, your choice of language or region).

Some of these companies are members of the Network Advertising Initiative (“NAI”) or the Digital Advertising Alliance (“DAA”) Self-Regulatory Program for Online Behavioral Advertising. Please note that these third-party advertising companies may still collect information from you and opting out through these mechanisms does not opt you out of being served advertising. You will continue to be served generic ads while online or on your device.

International Users

This website is hosted from the United States. By becoming a member or using our website, users in other countries acknowledge and consent to the transfer of their data to the US for processing, storage, and use. In particular, SCUP collects and transfers personal data only: with your consent; to perform a contract with you; or to fulfill a compelling legitimate interest of SCUP in a manner that does not outweigh your rights and freedoms.

The EU’s General Data Protection Regulation (GDPR) provides for certain rights and freedoms, including the right to request information about (i) the purpose of processing; (ii) categories of data; (iii) third party transfers of data; (iv) where we received your data; and (v) our retention and deletion practices.

SCUP takes your privacy seriously and is committed to protecting it. If you wish to confirm that SCUP is processing your personal information, wish to have SCUP delete your data, or to request access to the personal information SCUP has about you, please email info@scup.org if you have questions. Reasonable access to your personal information will be provided at no cost to SCUP members. If we are unable to accommodate your request, we will respond to your request with an explanation.

Children’s Information

Our website is not directed at children. We do not knowingly collect personal information from children under the age of 16. If you are a parent or guardian and believe your child has provided us with personal information without your consent, please contact us by using the contact information in the “For More Information” section, below, and we will take steps to delete such personal information from our systems.
