Job Duties

Program Support

• Review and apply program specific policies, procedures and regulations for tracking student participation requirements, regarding complex State and Federal grants such as, Basic Food, Employment & Training, Workfirst, Opportunity Grant and Worker Retraining
• Independently resolve customer problems; communicate results to customer
• Maintain inventory of supplies, materials, and equipment
• Coordinate the onboarding and separating students and staff procedures
• Manage student files; perform quarterly and annual archiving; manage official records requests

Administrative Support

• Reconcile monthly P-card and other fiscal duties as assigned; apply budget numbers to the appropriate expenses
• Manage Travel Requests and Travel Advance Requests
• Coordinate meetings and events for Workforce Education
• Work closely with the Director of Workforce on end of year budget tracking processes to prevent expenditure overages
• Develop budget estimates for department expenditures
• Responsible for addressing customer service issues on internal and external inquiries of students and staff
• General functions: scheduling, copying, faxing, data entry, filing, and maintaining department calendars
• Coordinate, track, and report Time and Effort for staff


• Lead the work of student-hourly and work-study staff by assigning, instructing and checking their work
• Train work-study students on front office procedures
• Manage Workforce Education’s student loan item program (laptops and calculators)
• Perform other duties as assigned

Required Qualifications

• Associates Degree in related field, or two (2) years relevant work experience. Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis
• One (1) year experience with State and Federal grants working with low income populations
• Demonstrated ability to provide customer assistance regarding inquiries, complaints, and problem solving
• One (1) year experience with Budget and financial processes
• Intermediate skills with spreadsheets; proficient in email, word processing, and other business related software
• Effective communication skills
• Demonstrated ability to maintain a high level of confidentiality
• Effective time management skills
