Job Duties

Under the general supervision of the Director, Board of Relations & Executive Assistant, the position serves as the primary administrative support person for the Office of the Vice President of University Advancement, who also serves as Executive Director of the CSUDH Philanthropic Foundation. The incumbent performs comprehensive administrative duties for the VP office, and assists the UA Fiscal Officer/HR Liaison on division-wide fiscal and HR tasks. The incumbent is assigned to special projects in addition to regular duties and responsibilities.

This position interacts with the entire UA division, external guests, board members, donors, and members of the campus community.

Required Qualifications

Required Knowledge, Skills and Abilities:
The position demands professionalism, good judgment, critical thinking, attention to detail, and the ability to juggle priorities, multi-task, and maintain confidentiality. Must be able to work effectively both independently and under direction of an Appropriate Administrator.

Necessary skill sets include:
Must have strong writing and editing skills and possess a thorough knowledge of English grammar, grammar, spelling, and punctuation. Must be able to draft correspondence, memos, emails, and other forms of business communication. Must be equally adept at proper verbal communication in person and on the telephone. Must be able to interact with senior management and external constituents in accordance with protocols that are in place. Must possess the ability to maintain poise when dealing with highly sensitive interpersonal situations, complaints, and/or upset guests.

Project Management & Office Administration
Must have the ability to work on multiple projects simultaneously and juggle competing priorities. Must possess strong time management skills and meet deadlines. Must know standard office procedures and practices, and have the ability to troubleshoot office administration problems. Must be able to make sound independent decisions pertaining to day- to-day operations. Must know university infrastructure, policies, and procedures, and have the ability and judgment to interpret and apply policies and procedures independently.

Financial Support
Must be able to perform basic math, prepare and process financial forms while complying with State and Philanthropic fiscal policies. Must be able to track financial transactions beginning with creation until the final reconciliation against the monthly general ledger. Must be proficient at researching and generating financial reports using Excel and PeopleSoft. Must be proficient in manipulating large amounts of financial data for monthly, quarterly, and annual reporting

Human Resources and Payroll
The incumbent must be able to maintain the confidentiality of all division employees both during and outside of work hours. Ability to provide assistance with numerous confidential administrative human resources and payroll tasks.

Computer Presentation
Must possess expertise in using current computer software packages, Microsoft Suite and
Adobe in particular. Must have experience using technology and systems, audio/visual equipment, and must be able to troubleshoot technical problems during presentations.

Preferred Knowledge
Knowledge of advancement / fundraising operations is preferred. Knowledge of the CSU system a plus.

Certification: Valid driver’s license

Experience and Education:
Required Education:
Graduation from a four-year college/university or commensurate qualifying experience

Required Experience:
Several years of related office experience, equivalent to (4) years.

Preferred Experience:
Four or more years of progressively responsible administrative experience, including interaction with external guests/volunteers/VIPs, executives or management, and experience making travel arrangements and processing expenses.
Experience working in higher education and/or a non-profit organization
Experience working in a fundraising operation
Experience working within the CSU system is a plus
Experience working with an ERP system (ex: PeopleSoft, Oracle, IBM Cognos, Kuali)

Conditions of Employment:
Possession of a valid Driver’s License is required. Employees in this position will be enrolled in the Department of Motor Vehicles (DMV) Government Employer Pull Notice Program which confirms possession of a valid driver’s license and reflects driving record.

Satisfactory completion of a background check (including a criminal records check) is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
