The person in this role focuses on operational space data. This position maintains accurate data regarding space utilization and facilitates space requests in addition to being a point person for updating space inventory. A highly important aspect of this data is accurate representation of campus space within various 2d models such as AutoCAD drawings. These must periodically be reviewed and modified according to rigorous national and institutional standards. Data associated with these drawings is then used for various purposes in important calculations:
• F&A rate calculations (indirect costs recovery) associated with sponsored research
• State in distribution of funds for capital renewal
• O&M costs
• Rental rates for various 3rd parties
This is a forward facing position requiring frequent interaction with other university space stakeholders. This position requires a high degree of initiative, organizational skills, reliability, attention to detail, and the establishment of an internal work schedule/job priorities on a day-to-day basis. This position requires collaborative team communication, with the Space Management unit, University Facilities Infrastructure and Operations, and university-wide partners. Position functions include gathering and compiling raw data; organizing and analyzing space usage in space drawings (floor plans); responding to data requests and explaining data and procedures; managing and producing drawings representative of space on campus; and creating conceptual space layouts for campus units.
This position is also required to train and manage students in properly creating or recreating space drawings.
40% – Gather and compile raw data (floor plans) from a variety of sources
Contact other University organizations and external groups; researching alternative data sources; use Space Management Database, Excel, AutoCAD, and other software as needed to retrieve, edit, validate, and tabulate data from various databases and files; develop survey research instruments to gather data; as well as conduct actual surveys in both face-to-face interviews and remotely via email or other processes.
30% – Maintain Campus Space Inventory
Coordinate with Business Affairs on F&A rate related data gathering effort. Leads the Space Management team in the annual space inventorying effort.
15% – Organize and analyze relevant data
Develop, display, and maintain data in databases and floorplans including but not limited to Space-usage by department, Building, Campus and eventually campus personnel. Publishing and maintaining floorplans for viewing by campus leadership and individuals on campus.
10% – Coordinate and lead moving of units and departments across campus
5% – Other duties as assigned
Bachelor’s degree in Architecture, Planning or Space related fields. OR Bachelor’s degree in Statistical or Analytical fields. OR
Five years of experience (in a field related to duties of position) gathering, compiling, analyzing, and reporting of research and/or space information and statistical data plus assisting with the drafting of this information into narrative or statistical reports; OR
An equivalent combination of training and experience. Transcripts must be submitted for all required and/or related courses.
Knowledge of basic computer operations such as word processing; spreadsheets; databases; E-mail; Internet searches.
Strong communication skills
Ability to create written reports
Experience with graphical drafting programs (AutoCAD) or other drafting software used to represent space.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a Criminal History Check and be determined to be position qualified as per OAR 576-055-0000 et seq. Incumbents are required to self-report convictions and those in Youth Programs may have additional Criminal History Checks every 24 months.
Preferred (Special) Qualifications
Knowledge of scripting or automation procedures within AutoCAD to increase productivity and maintain quality of our drawing library.
Experience creating “as-built” drawings by measuring in the field and from consultant provided drawings for our CAD library.
Experience with GIS software and processes.
