Job Duties

Space Planning and Analysis

• Consult with Campus Leadership, Colleges, Divisions, and Departments to determine immediate and long-range space needs to inform capital planning efforts and a strategic space plan

• Oversee the collection and review of requests for space; direct staff in the preparation of space analyses, and the development of recommendations and decisions to fulfill these requests

• Identify options to determine priority needs and recommendations for resolution of space issues through the development and implementation of space-use metrics, space standards, and the reassignment of space, efficient utilization of spaces and/or renovations or new construction projects

• Develop and implement policies and procedures to ensure proper utilization, functionality and assignment of space

• Participate in preliminary programming for new facilities and additions and review projects for compliance with space guidelines

• Ensure space planning efforts are integrated with, and support the overall University mission and Strategic Plan, the Campus Master Plan, the Strategic Space Plan and Campus Leadership goals and objectives

• Direct staff in the development of agenda items and the administration of monthly Space Planning Advisory Committee (SPA) meetings. Develop agendas and provide recommendations related to space assignments, standards, guidelines, or utilization to the Executive Space Planning Committee (ESP).

Space Inventory Data, Audits and Reporting

• Oversee and direct staff in the collection of space data using space management software; conduct annual space audits and site verifications of data

• Using complex data from the facility and space inventory, oversee the preparation of regular and ad-hoc reports to internal and external stakeholders

Oversee the Campus Relocations Coordinator in the development and implementation of moving processes and all physical moves related to projects and space assignments

Direct supervision of Space Analyst, Campus Relocations Coordinator, and Student Data Technician

• Conduct performance evaluations, direct and facilitate implementation of job duties and special project coordination

Represent CPSM when the Emergency Operations Center (EOC) is activated

As a key member of Campus Planning and Facilities, perform special projects and assignments, participate on campus, community committees or ad hoc task forces, participate in larger planning efforts, support other initiatives, and other duties as assigned

Required Qualifications

Minimum Qualifications:
• Bachelor’s degree in Interior Design, Architecture, Planning or a related field or equivalent professional experience
• Five (5) years of demonstrated experience working in space planning, programming, architectural design, project administration or other related fields

Preferred Qualifications:
• Master’s Degree in Interior Design, Architecture, Planning or a related field
• Demonstrated experience performing facilities space management or planning work in campus based institutions (university, medical, industrial, etc.) with a strong preference for experience working in a higher education institution of similar size and complexity
• Supervision of professional and student staff
• Experience working with Archibus or a similar space management software or database
• Certification or the ability to test for certification (NCIDQ, IFMA, APPA or relevant)

The successful candidate will possess the following knowledge, skills and abilities:
• Experience in creating physical space planning options and knowledge of industry and best practices in space management
• Experience with database entry and report generation from complex interlinked database systems
• Familiarity with the Postsecondary Education Facilities Inventory and Classification (FICM) guidelines and other space planning industry standards
• Detailed analytical and critical thinking with the aptitude to compile, analyze and interpret data and to create reports from that data
• Strategic thinking and the ability to create innovative solutions
• Professionalism and the capability to build and maintain relationships with Campus Leadership, College Deans, Division and Program Directors, Department Chairs, building occupants and other Campus Planning and Facilities Groups
• Excellent communication skills, both written and oral, the ability to negotiate, resolve conflicts and build consensus, and the aptitude to maintain professional and respectful communication during difficult conversations
• Good judgement and the ability to maintain confidentiality
• Self-motivated with the skills to organize and prioritize responsibilities and tasks to achieve goals and objectives
• Computer skills in Microsoft Office products, experience with drafting applications
• Proficiency reading floor plans and architectural blueprints
