Job Duties

This Project Coordinator position will support Space Management in the School of Medicine. Duties will include: Coordinates the strategic planning process and monitors progress toward achieving project goals. Assists in developing, administering and monitoring project related budgets. Coordinates logistical arrangements for related conferences, conventions or meetings. May assist in identifying funding resources and in developing funding strategies and initiatives. Develops and generates various operational and statistical reports. Represents and promotes the project at various speaking engagements. May write grants, reports, briefings, newsletters, promotional or other written material related to the project. Performs related responsibilities as required.

Move Management – Acts as primary move coordinator for small and large-scale relocations, including coordinating logistics with support units, developing and overseeing budget, and providing onsite assistance on the day of the move.

Security Management – Manages all security needs within the James B Williams Medical Education building, including coordinating access control and key requests. Assists with the implementation of policies and process improvement related to security.

Building Management – Monitors the James B Williams Building ensuring building infrastructure and cleanliness meets SOM standards and acts as main point of contact for building occupants for facilities issues.

Project Management – Manages small FF&E type projects, including developing and overseeing budget, working directly with vendor on design and implementation, and managing timelines. Assists Managers on larger projects, as needed, especially with furniture selection and orders.

Strategic Implementation – Assists the Director and Managers with the implementation of strategic projects and process improvement, as needed.

Data Management – Assists the Director and Managers with data analytics, including coordination of space survey information, reporting and reviewing space data modifications.

Required Qualifications

A bachelor’s degree in a related field and three years of related project management experience, or an equivalent combination of experience, education and training.
