Job Duties

Under the general direction of the Director of Ceremonies & Events, the Master Calendar/Event Specialist is responsible for the implementation and execution of the campus-wide scheduling and room reservation system (excluding academic/classroom scheduling). Develops and implements campus-wide policies and practices for the use and maintenance of the master calendar online facilities reservation system. Serves as the primary contact with Calendaring Software company and maintains the relationship to ensure latest technologies are being used. Coordinates upgrades with CSUDH IT and updates campus policies accordingly. Ensures effective communication and serves as calendar and online facilities reservation liaison between all divisions. Develops and leads campus-wide training on calendar software and online facilities/event reservation process. Plans and coordinates a variety of events and programs for the campus, community partner organizations, alumni, parents, students and campus departments, which may include; event logistics, creation of invitations, programs, menus, and decor.

Required Qualifications

Required Knowledge, Skills, and Abilities: Ability to understand a diverse and complex campus, scheduling methods, and the ability to analyze information. Ability to manage various materials at one time. Ability to train others on new skills and procedures and provide lead work direction. Ability to understand work flow. Ability to communicate effectively with all levels of university personnel. Ability to determine solutions to space and event related problems on a daily basis. Ability to anticipate and follow up on requests and issues with a proactive, problem-solving approach. Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form. Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.

Working knowledge of and ability to apply standards theories, principles, practices, and techniques applicable to the program and/or administrative specialty to develop conclusions and make recommendations. Thorough knowledge of operational and fiscal analysis techniques.

Skill in research, development and evaluation of policies and programs, including skills in the collection, evaluation, and interpretation of data to develop sound conclusions and make appropriate recommendations. Expertise in investigating and analyzing problems with a broad administrative impact and implications.

Specialized Materials: Event Managements Systems (EMS) calendar software or similar software; use of department electric cart on campus; personal vehicle for work-related purposes, events, and conferences.

Required Certification: Valid Driver’s License
Experience and Education:
Required Education: Bachelor’s degree and/or equivalent training.

Required Experience: Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs equivalent to at least four years.
