Job Duties

HR Communications
Provide support in the planning, organizing, development, and implementation of strategic internal and external HR communication. Work with VP-HR to ensure a cohesive, confidential, and complimentary approach to messaging. Create and cultivate impactful communications while maintaining professional style. Write, edit, and proof various HR communications, messages, and employee-related documents. Ensure all communications are aligned with HR brand and identity. Help identify appropriate messaging channels and tactics.

Research, write, develop, edit, and maintain external website and internal SharepPoint content. Plan and develop stories, features, information, and/or data for online publication. Seek out content users to gather feedback for internal and external site improvement and enhancements. Use website and SharePoint content programming languages or web software for presentation of written information on websites pages.

Develop and administer internal employee surveys, analyze survey data, and participate in the recommendation and action-planning processes as needed. Collect and analyze metrics to determine overall effectiveness of communications and make recommendations that improve outcomes.

HR Project Management
Develop comprehensive project tracking and management of HR projects. Coordinate information flow and projects, which may include multiple individuals and departments both within and outside of HR. Establish, enhance, and expedite process improvement across organization. Implement processes and practices that can adapt quickly to changing organization, business, and demands. Review processes, systems or other changes that might impact existing workflows and recommends methods to optimize to desired state and improve efficiency. Maintain HR goals and multi-year work plans and manage periodic reporting on plan objectives. Source and document HR processes to capture best business practices. May lead project teams.

HR Fiscal Administration
Assisting VP-HR in budget and financial management of the HR department. Assemble and summarize budget and financial data as needed. Assists in the preparation of annual budgets. Provide forecasting and other budget reports as needed. Manage, maintain, and audit financial processes in the department. Ensure invoicing and billing is up to date and paid on time in collaboration with HR staff.

Monitor, prepare, and process employee program awards and events, such as classified scholarship, classified and exempt PD day, faculty professional development, employee recognition, and other employee programs.

HR Data
Collects and compiles HR metrics and data from a variety of sources including the human resource information systems (HRIS) and payroll outputs, management and employee surveys, exit interviews, employment records, government labor statistics, and other sources. Analyzes data and statistics for trends and patterns with attention to recruitment, hiring practices, motivation, turnover, and compliance with employment laws and regulations. Prepares reports of data results, presenting and explaining findings to VP.

HR Complaint Management
Assist in the management, organization, and coordination of internal and external complaints including grievances, lawsuits, violations, investigations, and audits. Monitor and update the Complaint Management System (CMS) and Maxient System. Maintain internal and external information and documents within the HR Share Drive. Gather and coordinate information from other HR staff. Assist in the coordinate of complaint communications. Develop resources to assist in appropriate handling of internal and external complaints. Escalate any concerns to VP. Ensure confidentiality of sensitive case information.

Maintain knowledge on current developments and practices in human resources. Provide backup to HR staff as needed. Perform other duties as assigned.

Required Qualifications

• Bachelor’s degree in related field. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
• Three (3) years of professional experience in administrative, financial, and operational management functions of an HR department or equivalent experience which includes two (2) years or more of project management experience.
