The Human Engineering Research Laboratories (HERL)is seeking a qualified candidate to serve as the executive assistant for the Director of HERL, Dr. Rory Cooper. The selected individual serves as the Executive Assistant to the Director of the Human Engineering Research Laboratories and the Assistant Vice Chancellor for Research for STEM-Health Sciences Collaboration. This position provides high-level administrative support to the Director as well as financial and administrative support to the Assistant Director for Finance and Research Administration and the Director of Research at HERL. Responsibilities include working closely with the Director to prioritize and schedule appointments to include location, access, attendees, mitigating potential schedule conflicts, and length of and time between meetings, carefully manage, coordinate and arrange all aspects of domestic and international travel to include accessibility assessment, itineraries, visas, and disability
accommodations, and assist in preparation for meetings and events. The incumbent will assist with coordination of events, plan internal and external meetings and events, organize web meetings, video conferences, and teleconferences, and complete other duties as assigned. They will process reimbursements and purchasing for HERL’s many grants and assist with the general post-award administration and organization of outgoing/incoming grants to ensure maximal opportunity for success and compliance with University policies.
Previous experience as an assistant in a similar capacity or equal level position is preferred. A minimum of two years of prior experience as an assistant or similar level of experience, or a college degree in a related field. Financial knowledge preferred, but not required as post-award training will be provided. The candidate must possess the following qualifications: – Word processing skills and a working knowledge of web-based document sharing and conferencing software, such as Zoom, Skype, and Adobe-Connect – Strong skills in Microsoft Office Professional programs, including Word, Excel, Access, and PowerPoint and familiarity with outlook calendars – Mastery of the English language and ability to assist with preparation and editing of reports, correspondence, and other written materials – Accurate and concise note-taking skills during meetings and ability to assist with follow-up planning and implementation Some knowledge of the Americans with Disabilities Act desirable.
Must have excellent interpersonal skills.
